Managing Your Quotas


Introduction

Data storage is expensive to buy and to maintain, so all students are assigned quotasQuotas set forth limits on how much data you can store and how many pages you can print.

 

Having quotas ensures that all students have equal access to UMKC's computer resources.  This document will help you understand and manage the computer resource quotas for:


Managing Your Personal Profile Data Storage Quota

Paying attention to managing your personal profile storage is very important because every time you log on to a machine in an IS-managed lab your profile will be loaded onto that machine.  If you have too much data stored in your profile, you will have to wait for a long time while your data loads.

 

To make sure that the computers start up as quickly as possible, keep your profile data to a minimum.  The best way to do this is to avoid saving files to your desktop.  Instead, save them in your File storage space, which will be explained later in this document.  

 

The quota for personal profile space is 15 MB

Managing Your Email Storage Quota

The quota for email storage space is 20 MB.  

All of your email messages count against your email storage space quota.  There may be messages that you don't know about in your email folders.  These folders are usually listed on the left side of the program you're using to check your email, whether it's a browser or Microsoft Outlook.  Be sure to clean out your "Deleted Items" folder and your "Sent Items" folder regularly.

Microsoft Outlook and Microsoft Outlook Web Access are set up in a very similar manner.  These instructions should work for both means of managing your email quota. 

 

Until you've actually cleared out your "Deleted Items" folder, all of the email messages you've selected to delete will still count against your quota. 

To clear out unwanted emails:

  1. Select the folder " Inbox," single click the message you wish to delete and then click on the "Delete" button.  Repeat as necessary.

  2. Select the folder "Sent Items," single click the message you wish to delete and then click on the "Delete" button.  Repeat as necessary.

  3. Right click on "Deleted Items," and select "Empty Deleted Items."

If you delete an email by mistake, click on "Deleted Items" and you will see a listing of all the emails that are waiting to be deleted.  Simply click the email you want to recover and drag it over the "Inbox" folder in your "Folders" list.

Managing Your File Storage Space Quota

Personal Data Storage Space Quota is limited to 100MB.  All files stored on your Q: and N: drives count against your 100MB of File Storage Space.

  • Saving files to the “My Documents“ icon on your desktop counts the files against your Personal Profile space instead of your general quota.

  • All of your files should be saved to the “Q:” drive, not to the “My Documents” icon on your desktop

Managing Your Personal Student Web Page Storage Space Quota

Student Web Page Quota is limited to 60MB.  

 

Student Web Page data is stored on your N: drive.  All files stored on your N: drive count against your 100MB of File Storage Space.

Managing Your Print Quota 

Print Quota is limited to 150 pages per week.  Print quotas are reset every Saturday night.  

 

When you print a document, the data for that document is sent to the printer.  To keep track of the order in which documents were submitted, there is a "line" called a print queue.  The print queue is how the printers manage all the different documents submitted for printing.  By learning how to manage your print queue, you will save yourself from accidentally using up your print quota.

 

The print quota exists for two reasons:

Before print quotas came into effect, there was no way of making sure that paper wouldn't be used up unexpectedly and sometimes the labs would run out of paper.  There is only enough storage space for a certain amount of paper in each lab, and without quotas, it would be impossible to keep paper on hand at all times for all students.  With rising costs and lowering resources to support printing, quotas also ensure that computer resources are fairly distributed among all students.

 

To help you not accidentally print too much of your quota at once, documents must be printed in increments of 50 pages at a time.

To make sure you only print those documents you wish, you can control your print jobs using the Print Queue.

 

To manage your print queue, follow these steps:

 

1. Click on "Start," then "Settings," then "Printers."

 

 

2. In the window which appears, you can click on the printer for that lab.

 

 

3. The Print Manager window will then appear.


The print manager window has several pieces of data that you may need.

 

 

The "Status" Column

This column shows you whether your print job is paused, printing, or has an error.

The "Owner" Column

This column shows you which print jobs belong to you.

Your username will appear instead of "sample_user" on any print jobs that are yours.

The "Pages" Column

This column shows you how many pages your print job consists of.

  • To ensure that you do not accidentally print a large document in error, using too much of your quota, all print jobs are limited to 30 pages. 

  • Please print documents in 30 page increments.

The "Submitted" Column

This column shows you at what time your print job was submitted to the queue.

Sometimes, you can accidentally click on the print button more times than you intended. 

  • In the above example, you can see where the same print job was submitted twice in a row, with only 1 second between them. 

  • The extra print job in this case can be safely cancelled.  I

  • t's always best to be patient and careful so that you don't accidentally print more copies of any document than you want.


Once you understand these pieces of the print queue, you can manage your own printing by doing the following:

To RESUME paused print jobs, first select the print job so that it is highlighted, then select "Document," and "Resume."

To CANCEL paused print jobs, first select the print job so that it is highlighted, then select "Document," and "Cancel."


If you have a paused print job in the queue, or a job that has received an error, a small printer icon will appear in the bottom left hand corner of your monitor:

Double clicking on this icon will also bring up the print manager window.
